Rules and Regulation – Cougars Cross Country

General
The Cougars Cross Country 2023 is organized by Cougars Athletic Association (CAA) in accordance to the Rules & Regulations (R&R) sanctioned by the Singapore Athletic Association (SAA). Please refer to SAA’s official website.
Completion of the online registration form confirms the Participant’s agreement to abide by the R&R. Any amendments to the R & R will be updated on the official website of CAA.
Participants are to provide true, accurate, current and complete information about the participant contained in the registration form. The organizers may contact the participants by the registered email. All notices sent out to the registered email address would be deemed as received by the participant.
The organizers may suspend or terminate any participants’ registration and participation should there be any incomplete, untrue, inaccurate or not current information provided.
Participants with unmade payments will also be terminated from participation by the organizers. Please note that there will be no onsite registration.
No changes to registration details and race categories are permitted once registration is completed. Exception will only be made for emergency contact person.
The organizers will not entertain nor be in any way responsible for any disputes arising from incomplete entry details.
All participants shall collect their race bib during race day.
Photos and videos of the event will be captured and posted on CAA’s social media platforms and website. By registering for this event, you are allowing permission for CAA to use your photos and videos taken during the event.
2. Safety
In view of unpredictable situations, the organizers reserves the right to cancel or postpone the event at any time without prior notice to the participants, in which case, the organizers will make reasonable effort to inform participants prior to the date and day of the event. If the event is cancelled, there would be no refund of fees paid. None of the organizers or sponsors will be liable for any losses or inconvenience caused.
The organizers reserves the right to make amendments to the race routes for the safety of the participants to prevent potential hazards in the running of the event. The organizers will make reasonable effort to ensure that all participants will be made informed prior to the day or date of the event. None of the organizers or sponsors will be liable for any loss or inconvenience caused.
The organizers would take reasonable precautionary measures to ensure participant’s safety as participant takes part in the cougar’s run at his or her own risk.
Participants are strongly encouraged to consult their practitioner/doctor prior to registering for the event and before the actual race day.
Any organizers or medical staff may stop any participants from completing the race should they be deemed unfit physiologically.
3. Race
Participants are to attach the assigned bib to the front of their running attire at all time during the race course. Participants without the bibs will be taken off the race route by route marshals and will be considered disqualified.
Pets, bicycles, in-line skates, prams, push carts, shoes with built-in or attached rollers and any other wheel-run objects are not allowed on the race route. Participants in possession and in use of the listed wheel-run objects will be taken off the race route by route marshals and be will be considered disqualified.
CAA reserves the right to use any photographs, motion pictures, recordings or any other media records (including those displaying the participants) of the cougar’s run, for any legitimate purpose, including commercial advertising and the participant hereby consent to any and all such use.
4. Cancellation
After registration, there will be no fee refund for a participant who does not eventually take part in the cougar’s run, regardless of any reason.
Participants are strictly not allowed to transfer his or her race entry to another party. Any participant caught doing so shall be disqualified by the organizers.
Participants who commence before the actual start time of the race will be disqualified. The start time for the race can be found on the CAA’s official website.
Any participants who do not start within 30 minutes from the flag off time and point will not be able to start and are considered disqualified.
In case of wet/bad weather or unforeseen circumstances, the race will be cancelled and no fee refund(s) will be made.
5. Age requirements
Any participant below the age of 18 is required to seek parental/ guardian consent and complete the relevant indemnity and declaration forms when registering online or in-person. Failing which, CAA reserves the right to refuse entry to the participant.
6. Cut-off Time and DNF (Did not Finish)
Participants must complete the race within the following CAA committee rules’ cut-off times, otherwise they will be deemed disqualified.
The “Gun Time” will be considered to determine the winners.
Participants who are deemed disqualified for the various reasons as listed above will not be issued their race timings and according to CAA committee rules. A ‘DNF’ status will be assigned.
7. Winner
Only top 10 timings (hand-timed) of each category will be recorded and announced (coaches/individuals can time on their own if they are not within the top 10). The organizers reserves the right to replace any winner if he or she is found to be disqualified based on any violations of the rules. Winners need to verify their birthdate with CAA organising committee prior to prize presentation.
All prizes not claimed with one month from submission of winner’s information will be forfeited and the organizers will redistribute them accordingly.
Prizes awarded must be taken, in the form as presented by the organizers. They are not transferable or exchangeable for cash.
For all other participants, appeals over dispute regarding the results must be submitted in a written format with an appeal fee of SGD 150, including written appeal form (available at registration table) within 1 hour after race. CAA reserves the right not to entertain any appeals after stipulated time.
8. Prize money
Each participant is allowed only one prize-money award. A winning participant is not allowed to elect and receive an award in another prize category to which he or she is entitled to, which might offer a higher prize-money. Participant will receive prize-money from categories which he or she is entitled to. Notwithstanding the participant’s election, his or her finishing position in each of the relevant prize category will not change.
CAA reserves the right to replace any winner if he or she is found to be disqualified or was terminated from the race.
Collection of prize-money will only be processed, after the submission of Winner’s information for prize money form and a copy of participant’s passport of photo ID. In the event, form submission is incomplete, participant would have to re-submit, and CAA reserves the right to refuse incomplete forms.
All prizes unclaimed within 1 month from submission of winner’s information for prize money form will be forfeited and CAA will be at liberty to redistribute or dispose of them accordingly.
Prizes must be taken, in the forms as presented by CAA. They are not transferable or exchangeable for any other items.
Individual prizes money will be awarded for all categories (U14, U20 and Open) for both genders.
9. Privacy policy
The privacy policy is hereby issued pursuant to the provisions contained in the Singapore Personal Data Protection Act and sets out how CAA collects, uses, discloses and protects information including personal information.
The types of personal information collected by CAA are as follows:

Information that could be linked back to the participant. For example, the name, gender, date of birth and NRIC number;

Participant’s contact number information. For example, the mailing address, the area of residence, telephone number and email address;

Participant’s health information. For example, allergic or any known medical conditions;

Participant’s technical information. For example, the IP address form which the registration from is accessed, completed and submitted.
The purpose for collection, use and disclosure of personal information are for the following purposes:

Facilitate registration for the cougar’s run

Verify your identity

Communication with you

Responding to your enquiries and requests

Risk assessment and analysis

Analysing the effectiveness of our advertisements and competitions

Comply with any applicable laws, rules, regulations and guidelines (which may be issued by the concerned authorities)

For legal purposes (including but not limited to the obtaining of legal advice; to facilitate dispute resolution; and to investigate suspected unlawful activities including intellectual property infringement)

Record keeping purposes (where there are legal and/ or business reasons for retaining the said records)

Sending your e-newsletters and updates about upcoming events which have been identified to be interest to you
You hereby agree and consent to CAA’s collection, use and disclosure of your personal information, in the manner set forth in this Policy.
The organizers have identified the nature of personal information which may be collected as well as of the specific purposes for the collection, use and disclosure of personal information. To the extent feasible, generally all personal information held by CAA shall be kept confidential.
CAA will retain the personal information collected for as long as it is necessary to fulfil the purpose for which it was collected, the legal and/ or business purposes of CAA and/ or as may be required by applicable law.
